Job Objective:

The Executive Assistant to the CEO is a critical role that supports the Chief Executive Officer in leading the oneworld Alliance. Reporting to the Vice President, General Counsel, this role requires a high level of organization, accuracy, and discretion, as well as the ability to handle multiple tasks and deadlines in a fast-paced environment. The Executive Assistant will coordinate all aspects of travel for the CEO, manage the CEO’s calendar and correspondence, and perform other administrative duties as assigned. The Executive Assistant will provide key office support to the entire organization and collaborate closely with the Executive Administrator and Travel Coordinator in assisting with duty travel and meeting and event logistics. The Executive Assistant will represent the CEO and oneworld with a positive, courteous, and collaborative attitude, and will liaise with the oneworld member airlines and other stakeholders as needed.

Key Accountabilities:

  • Handle CEO’s diary, travel and meeting arrangements, including booking flights, hotels, visas, and transportation
  • Assist the Executive Administrator and Travel Coordinator with staff travel for other members of the oneworld team as needed
  • Assist the Executive Administrator and Travel Coordinator in supporting the planning and organization of alliance governance meetings including venue selection, hotel negotiations, travel and event arrangements, and other meeting logistics
  • Coordinate guest registration, booking of meeting rooms, and management of guest wifi for all oneworld office locations in Fort Worth (Skyview) and other remote office locations (currently New York, London and Sydney)
  • Liaise with Executive Officers and Executive Assistants throughout the alliance, ensuring timely and accurate communication and coordination
  • Help prepare and distribute meeting agendas, presentations, and other documents and correspondence for the CEO to the oneworld Governing Board and Management Board
  • Maintain and update the CEO’s contact list, expense reports, and filing system
  • Manage incoming and outgoing correspondence for the CEO, prioritizing and escalating urgent matters as appropriate
  • Provide general administrative support to the CEO, such as organizing events, ordering supplies, and running errands
  • Where needed, assist in providing administrative support to other members of the Executive Team
  • Research and analyze relevant information and data for the CEO’s projects and initiatives
  • Act as a point of contact for the CEO and oneworld with internal and external stakeholders, demonstrating a high level of professionalism, confidentiality, and discretion

Skills, Experience, And Qualifications:

  • Minimum 5 years of experience in providing executive-level administrative support and coordinating complex travel arrangements
  • Bachelor’s or associate degree in business administration, hospitality management, or a related field, or equivalent work experience
  • Expertise in Outlook, Microsoft Word, Excel, Powerpoint and ability to learn new software and systems quickly
  • Strong managerial and interpersonal skills, with a service-oriented and proactive attitude
  • Proven ability to interact professionally and effectively with senior management and external partners, with a high level of confidentiality and discretion
  • Ability to work strategically and collaboratively across departments and cultures, and to handle multiple tasks and deadlines in a fast-paced environment
  • Flexible, adaptable and action-oriented, with a willingness to take on new challenges and responsibilities
  • Excellent communication skills, both written and verbal, with attention to detail and accuracy
  • Willing to travel up to 10% of the time
  • Possess a valid passport and/or work visa(s) that allows international business travel
